Promo Codes vs 'Just Tell the Waiter': Which Discounts Get Tracked

Comparisons

Two ways a 10% discount can happen

A guest asks for a discount. There are two ways that ends, and they look identical from the guest's side: the total is a bit lower than it would have been. One of those two ways leaves a record behind. The other doesn't leave anything.

The first is a promo code, typed into the Promo code field in the cart before the order goes out. The second is a waiter, or an owner, or whoever's working the counter, saying "sure, I'll take off 10 percent" and either adjusting what gets said out loud or writing a lower number by hand. menu-MENA doesn't have a register or a POS screen with a discount button on it. There's no "manual discount" feature to compare a coupon against, because the whole platform runs on a guest's own cart going to WhatsApp and landing on your Orders board. A verbal discount isn't a lesser feature. It's staff working entirely outside the system, the same way it would be with a printed menu and a cash drawer.

What a coupon leaves behind, automatically

Create a code on the Promo codes page (type, value, and whatever limits you want: minimum order, total uses, uses per customer, a starts/expires window) and from that point on, every redemption gets recorded without anyone doing anything extra. A guest types the code in the cart and taps Apply, the server checks it's active, checks the dates, checks the minimum, and returns a real discount amount. That's still just a preview. The part that counts happens when the order is actually placed: the discount and the increment to the coupon's used count get written in the same database transaction as the order itself, so two guests can't both grab the last use of a coupon capped at three, and a stale cart can't sneak a wrong number into your WhatsApp inbox.

From that one write, the number shows up in four places without any extra step:

  • The Promo codes list, where the Used column reads something like "2 / 3" and the status chip flips to Used up, Expired, or Paused on its own
  • The order's own record, which permanently carries a couponCode and a discountAmount
  • The Orders board, where the card shows the code and the amount taken off in green, right under the total
  • The owner's order notification email, if you haven't turned those off, which lists the discount and the code by name

None of that took a second system. It's the same code, the same order, read back from four angles.

What a verbal discount leaves behind

Nothing structured. An order carries one free-text field, an order-level note, meant for things like a table's seating request. There's no discount amount to enter, no reason code, no field that subtracts anything from the total the guest already sent over WhatsApp. If a waiter agrees to knock 20 EGP off a bill after the order already went out, that adjustment exists in a conversation, maybe in a note if someone remembers to type it, but not as a number attached to that order in any dashboard. It doesn't touch the Orders board's total. It isn't in the order record. Ask "how much did we discount last month through staff judgment calls" and the honest answer is: there's no way to know, because nothing wrote it down.

That's not a flaw to fix. Not every discount needs a paper trail, a manager comping a mistake on the spot shouldn't need a form. It's just worth being clear-eyed about which kind of discount you're choosing every time you say yes to one.

Even a tracked coupon doesn't add itself up

Worth being honest about the limit here too: the Used column is a count of redemptions, not a running total in EGP. Nothing in menu-MENA sums every discountAmount across every order into one number. If you want to know exactly how many pounds LASTONE has given away this month, you'd scroll the Orders board (it holds your 200 most recent orders) and add up the discount line yourself.

The difference isn't that a coupon hands you a finished report. It's that the raw numbers exist to be added up in the first place. A verbal discount never generates a number to add.

Picking which one to use

A one-off, "sorry about the wait, this one's on the house" moment doesn't need a code. It's not going to repeat, and a form for it would slow the apology down. Anything that's going to happen more than a handful of times, a launch-week code, a standing discount for a regular, a Ramadan offer, belongs behind an actual code from the coupons setup guide. The test isn't how big the discount is. It's whether you'll ever want to look back and know it happened.

Frequently Asked Questions

No. An order carries an optional order-level note (free text, things like 'no onions on the whole table') and that's it outside a coupon. There's no discount amount field, no reason code, nothing that subtracts from the total. If a discount didn't come through a coupon code, it isn't represented as a number anywhere in menu-MENA.

It's the only way that discount shows up anywhere later. Set Uses per customer high (or leave it blank for no cap) and give them a code to say out loud or have saved in their phone. It still runs through the same Promo code field in the cart, and now it has a Used column instead of living in someone's memory.

Not as a single number. The Promo codes list shows a Used count against any Total uses cap you set, and each order carries its own discountAmount, but nothing sums those amounts into one figure. To get a total you'd add up the discount line on each order from the Orders board yourself, which keeps your 200 most recent orders.

Nothing stops the second part, because there's no system path for it to happen through. A coupon's discount is calculated server-side and written into the order the moment it's placed. Anything a staff member does after that point, waiving part of a bill, is happening entirely outside menu-MENA, the same as it would with a paper menu.

No. Coupons are part of the standard plan, 90 EGP/month or 1,000 EGP/year for one branch after the 14-day free trial, no credit card required to start. Tracking isn't a separate feature you turn on, it's just what happens when a discount goes through a code instead of a conversation.

No, and menu-MENA doesn't have a POS to plug into in the first place. Orders come from the guest's own cart through WhatsApp and land on your Orders board, coupon or no coupon. A tracked discount is a property of that same order record, not a separate system you'd need to reconcile against.
